Training and Implementation

CareFacts employs a highly structured training and implementation timeline, executing an average “Go Live” date of 15 to 17 weeks after concluding contract negotiations. The process frontloads all data migration, software customization, form design, hardware purchase and configuration (through 3rd parties), software integration and testing, ensuring a stable environment exists prior to installing the customized version of CareFacts’ software. This significantly reduces errors and speeds the training process allowing a more focused effort on acclimating prospective customers with each module of CareFacts’ software.

CareFacts provides the majority of training on-site. Additionally training is supplemented with web conferencing, and phone training/support during implementation.

Administrative training is comprised of doing the initial setup for the agency with their input, concurrently training the agency how to modify their setup, customization of existing features such as pathways, assessment tools, service templates, and reports. Use of management reports, OASIS administration training, and all the HIPAA privacy/ security setup is included.

The Clinical training consists of over 30 hours of training in seven sessions, averaging 4+ hours each. Topics include referrals/ intake process, initial and ongoing visits, physician orders, pathways and care plan modifications, discharges and readmissions. Specialized training is provided for hospice disciplines, therapists, social workers, and specialized programs such as maternal child health, and communicable disease followup.

The Scheduling Training consists of two sessions, averaging 8+ hours each and reviews scheduling procedures, special issues and troubleshooting.

The Billing training consists of over 33 hours of training divided among 10 sessions, averaging 3+ hours each. Topics include billing formats, cash receipts, general ledger, PPS billing, invoice generation and troubleshooting.

This comprehensive training schedule increases productivity and cost effectiveness by having prospective customers operating error-free by the “Go Live” date.
